How to Convert Word to PDF: A Formatting Checklist
A PDF is useful when you want a fixed document for reading or printing. Browser-based conversion works best for simple text-first DOCX files; complex layouts should be exported directly from the application that created them.
Prepare the Word document
Accept or reject tracked changes, remove comments that should not be shared and update the table of contents. Check that page breaks occur intentionally rather than through repeated blank lines.
Choose the right conversion route
Use PDF Porter for simple letters and reports where readable text matters most. For brochures, forms, embedded charts, exact fonts or complex tables, Word's own Save as PDF feature is more likely to preserve the original design.
Review the fixed PDF
Check the first and last lines on each page, heading hierarchy, lists and any important emphasis. Search for a key sentence to confirm that essential content appears in the output.
Final checklist
- Tracked changes and comments are resolved
- Page breaks are intentional
- All essential text appears
- Complex design was exported from its source app when needed
