How to Add Page Numbers to a PDF
Page numbers make reports, applications and evidence packs easier to reference. The best position depends on the document margins and whether the PDF already contains a header, footer or printed number.
Choose the starting number
Most standalone documents begin at 1. If the PDF continues an earlier section, start at the next number in that sequence. Remember that the tool adds a number to every PDF page, including covers.
Choose a clear position
Bottom centre is easy to find, while an outer corner may avoid existing footer text. Inspect several pages because a position that is empty on page one may contain content later.
- Avoid signatures and form fields
- Check portrait and landscape pages
- Leave enough space from trimmed edges
Review the numbered copy
Open the downloaded PDF and confirm the sequence, starting value and placement. The original file remains unchanged, so keep it until you know the new numbering works on every page.
Final checklist
- Starting number is correct
- Numbers do not cover existing content
- Cover-page numbering is intentional
- Last page has the expected number
